Zoom Web Conferencing - General Support for COM Zoom Provided by Classroom Support

Summary

Classroom Support has been doing some support for COM Zoom. This article details what that support looks like throughout the process.

Body

General Zoom Training

  • If any faculty has NEVER run a webinar before and they are scheduled to be the primary presenter or moderator for a webinar, we would suggest that they schedule a meeting with us before hand to practice.
  • If a large number of events will be scheduled for faculty who don’t often present using Zoom, it may be worthwhile to schedule the Zoom event to include a practice session at the beginning – this allows the hosts (faculty/staff/IT) to practice and run through functionality without meeting attendees being able to hear the proceedings.

Scheduled Support

  • IT support staff will join at the beginning of any sessions that are scheduled in TeamDynamix in order to help troubleshoot any obvious questions that arise with how to use Zoom, and would stay connected for the first 15 minutes or so to make sure things run smoothly. However, we would likely disconnect once the session has been going smoothly for a few minutes.
  • If any issues arose regarding Zoom functionality (how to run Q&A, how to share content, etc), you could call the service desk (517-432-6200), and they will forward the ticket to the appropriate technician

Presenter disconnection from Zoom

  • If a faculty member who is presenting in a webinar has a network failure (especially for remote users, connections can potentially be unstable), there should be at least one other faculty or staff in the meeting who can either take over the presentation, OR relay to the students alternative options for how to get the curriculum info.
    • IT support for alternative curriculum sources could include pulling forward a previous year’s recording, or arranging to record the session separately once the presenting faculty member’s network connection was restored

Known Issues

  • If we find out about any system-wide Zoom issues we will notify COM as soon as we find out
