EPMO - How To Submit a Project Change Request in TDX

Step by step instructions on how to process a project change request in TDX.

Before You Begin

Compile the change request information such as the impact to cost, schedule, and scope, business need for the change, etc., and who will need to be the change request approvers.

Steps

  1. Sign in to TDX.
  2. Select Users button.
  3. Select the Apps Waffle, choose Project Requests.
  4. Select New button.
  5. New box: select Enterprise Change Request Form.
  6. Project ID box: Enter the TDX project ID.
  7. Technical Sponsor box: add the technical sponsor.
  8. Change Request Title box: enter the name of the change request.
    • This is the same as the "Change Request Name" on the old Word template.
  9. Description box: enter the change request description.
    • This is the same as the "Description" box on the old Word template.
  10. Justification box: enter the justification for the change request.
    • This is the same as the "Reason" box on the old Word template.
  11. Objective box: enter the objective of the change request.
    • This is the same as the "Benefits" box on the old Word template.
  12. Identified Risks box: enter the risks of not making the change.
    • This is the same as the "Impact of not making the change" box on the old Word template.
  13. Due date box: enter the date that the change request needs to be completed (approved).
  14. Impact Analysis section:
    • Select each of the affected areas for the change request. Selection of the area will present a field to fill in.
      1. Budget - if selected, enter the amount of the new overall budget for the project rather than the increment/decrement budget change.
      2. Schedule - if selected, enter the new project end date.
      3. Scope - if selected, enter a description of the change to scope in reasonable detail for the requested change.
  15. Fiscal Officer will populate once the Enterprise Change Request Form is saved.
  16. Existing Budget will populate once the Enterprise Change Request Form is saved.
  17. Recommendation box: enter the recommendation for the change request.
    • This is the same as the "Recommendation" box on the on the old Word document.
  18. Responsible box: this field defaults to the Enterprise Project Review Group.
    • Check the Notify Responsible box.
  19. Attachments to the change request are optional.
  20. Enter Save to create the Enterprise Change Request Form ticket.
  21. Monitor the change request approvals.
    • Go to the Project Requests tab in the menu bar at the top of the TDX screen
    • In the tickets section, select Awaiting My Approval
    • Select the item requiring your approval. This opens the change request.
    • On the right side of the webpage you can approve and manage the change.
  22. Once the final approver approves the change request, the process is complete. Affected Project Details can now be updated. The change is to be communicated to the project team.
