Zoom Introduction

Zoom is a cloud-based solution for video and audio conferencing, mobile collaboration, and online meetings and Webinars. MSU faculty, staff and students have free access to Zoom Pro Meeting up to 300 participants and Zoom Webinar up to 500 participants.

MSU provides a safe way for all users to keep their data safe while using HIPPA Business Associate Agreement (BAA) with Zoom. If you would like your data to be protected in accordance with HIPAA guidelines, please sign into https://msuhipaa.zoom.us/signin with your MSU NetID and password. Otherwise, continue using https://msu.zoom.us .

Also MSU community ID users will sign into Zoom free account directly because the community ID users are not owned by MSU and they are supposed to be managed by another entity/institution. Browse to https://zoom.us/signin to log in to Zoom service for MSU community ID users. Please use your email address and password.

Any extra information can be found on https://msu.zoom.us/ for MSU students, staff, and faculty.

How to use/download Zoom

Browse to https://zoom.us/download to find the different links to download Zoom to different platforms for MSU faculty, staff and students.

Zoom is also compatible on varied web browsers.  Some of Zoom's features can be used without downloading plug-ins or software. But, the web client has limited features.

Zoom is accessible with the following web browsers:

  • Microsoft Edge 38.14393.0.0 or higher
  • Google Chrome 53.0.2785 or higher
  • Safari 10.0.602.1.50 or higher
  • Firefox 49.0 or higher

How to sign in and get started with meetings/webinars

Browse to https://msu.zoom.us to log in to Zoom service for MSU faculty, staff and students. Please click on the Login and use your MSU NetID/password.

Starting 8/28/21 you will be redirected to an Okta login page and will use your full email address, but the password will be the same.

Zoom Cloud recording longevity

When recording on zoom and zoom cloud recording is activated the video will stay on the account for 7 days. It is recommended that users should directly download the video to a local computer instead of sharing the video. When a video surpasses 7 days there will be no chance to recover and save the video.

This also applies to the Kaltura Mediaspace integration between the two platforms. Kaltura integration with Zoom allows you to automatically upload your Zoom cloud recordings to Kaltura after your meeting ends. If you want to know more benefits about the integration click here.

Zoom Profile on Web Browser

When signed into Zoom on a compatible browser there is a section labeled PERSONAL that will allow you to customize your profile and create zooms/webinars. This will be a small overview on how to use all sections of the PERSONAL settings.

Profile

Here you can edit your personal profile to change the following settings:

  • Your name
  • Your pronouns
  • Your organization/ job description/ location
  • Phone number
  • Language
  • Time zone

You also can view the license that MSU offers to student and faculty members which is 300 participants for meetings and 500 participants for webinars.

Meetings

In the Meetings option you can view your Upcoming Meetings, Previous Meetings, your Personal Room and Meeting Templates.

  • Using the Upcoming option you can schedule a meeting. Just click the Schedule a Meeting button in the top right which will bring you to a page to schedule your meeting. Here you can name, set a description, and set when the meetings will take place.
  • Using the Personal Room is an option to start a zoom meeting. You can click copy invitation and start the meeting. With the copied link you can send it to whoever you desire to join your Zoom Meeting.
  • A non-recurring meeting ID will expire 30 days after the meeting is scheduled. If you restart the same meeting ID within those 30 days, it will remain valid for another 30 days. You can restart the same meeting ID as many times as you would like before it expires.
  • A recurring meeting ID will expire 365 days after the meeting is started on the last occurrence. You can re-use the meeting ID for future occurrences.
  • Scheduled meetings can be started at any time before the scheduled time. The links will not expire or become invalid unless it is past the 30-day period for a non-recurring meeting, have not been used for over 365 days for a recurring meeting (link), or have been deleted from your Zoom account. An instant meeting link will expire as soon as the meeting is over.

Webinars

Webinars follow a similar format as the Meetings option. You are able to see Upcoming Webinars, Previous Webinars, and your Webinar Templates.

Same as before when using the Upcoming option you can schedule a Webinar. Just click the Schedule a Webinar button in the top right which will bring you to a page to schedule your meeting. Here you can name, set a description, and set when the Webinar will take place.

Recordings

The Recordings option allows you to view the past recordings done through zoom.

In the Cloud Recording tab you can search up any recording done in the last week. If the recording is not downloaded onto a local drive then the recording will be deleted on your Zoom account but it should be imported to Kaltura. When recording on zoom and zoom cloud recording is activated the video will stay on the account for 7 days. The local recordings tab allows you to view all the downloaded recordings on your computer. You have the option to open or delete them.

Settings

In the Settings option you can change your account settings which will specifically apply to Meetings, Recordings, and Collaboration Devices.

Meeting will allow you to control and change settings for:

  • Security settings
  • Scheduling a meetings settings
  • In a meeting basic settings
  • In a meetings advanced settings
  • Email notification settings

Recording will allow you to control and change settings for:

  • Local recording
  • Cloud recording
  • Access to recording
  • Other settings

Collaboration Devices is for users with more than one device linked to their account.
