How to Export and Import Microsoft OneNote Notebooks (Spartan 365)

Objective

Following these steps will export OneNote notebooks from your Spartan Drive (One Drive) to a local computer and import OneNote notebooks to personal OneDrive account.

Environment

Before You Begin

You may be prompted to verify your identity with your multi-factor authentication (MFA) credential. Have it ready just in case.

Check your local storage capacity on your computer before attempting this process, as OneNote files in Spartan Drive may have a large amount of data to copy.

Steps

To Export a OneNote Notebook

  1. Visit portal.office.com
  2. Log in with your MSU email and NetID password and verify your identity with your MFA credentials.
  3. Install the OneNote Desktop app from office.com.
  4. Open OneNote app for Windows desktop
  5. Wait for the notebook to fully sync to the local computer using the first link below. 
  6. Go to File > Export > Notebook
  7. Select the file format. Use:
    • OneNote Package (*.onepkg) if you intend to use the notebook in a personal OneNote account; or
    • PDF (*.pdf) so the notebook can be read by any device.
  8. Select Export and choose the location to save the file. 

To Import a OneNote Notebook

  1. Unzip the folder found in the file you previously downloaded (see How To Export a OneNote Notebook, above). This unzipped folder is your notebook folder.
  2. In any modern Web browser, go to the OneNote Notebook Importer (link)
  3. On the screen that opens, click Import.
  4. On your computer, navigate to the location of your notebook folder (see Step 1), click to select it, and then click Open to import it.

Additional Info

If you had shared files from your Spartan Drive with other users, you may wish to alert them that the files will be going away when you lose access to your account.
